With so many options for wedding and reception venues, you should carefully plan and consider what you require for your own wedding reception hall. Consider the following aspects as you seek the perfect wedding reception venue:

  1. Speak to other wedding planner and couples that have some experience using prospective halls. If the hall you are interested in can provide you with references, it is the first sign that they have experience hosting wedding receptions; speak to the referees and find out both good and bad aspects of the hall so that you can be prepared for what you will have to deal with.
  2.  Manager of the Reception hall – The reception hall should have a competent and agreeable manager to support you as you plan for the event. Things like lighting and decor, seating and catering should all be considered, and you should find out if the manager is available before and during your wedding reception.
  3. Location – Ensure that the location of your reception hall is safe and that there is ample secure parking for your guests.   4. In scheduling a day to hold your event, choose a weekday instead of a weekend. Most rental locations and halls are more expensive over the weekend.

In the same way, the time of day that your event will be scheduled for has implications on the budget. Schedule your event for the ‘non-peak’ hours of the banquet hall, where the peak hours represent times when the most guests visit the hall. If you are planning for an event in advance, you are in a better position to bargain on the cost of renting a location.

Once you have a location, use creative ways to deck the hall. Pick cheaper flowers that will still work to beautify the hall, distributing them well across the room to create the mood that you have in mind.

Offer the best menu that you can to your guests from an affordable caterer. If there is a place that you enjoy eating, ask if they offer catering.   1. Seek references and suggestions – Ask people that you know about their experience acquiring a banquet hall, and what they would recommend.
  2. Conduct research – If your friends and family could not recommend something, get information about the halls in your intended location by going online or to a telephone directory. Find out about different halls and their costs and services. Have a clear picture if what you are looking for, including the dates and times of your event, the number of people attending, space and sound requirements.
  3. Picture the event in your mind from the beginning to the end, covering all aspects form the entertainment and decoration to the food and seating of guests. This will give you a clear picture of your expectations and what you need from the banquet hall that you choose.
  4. Visit probable locations and halls to ensure that you will be getting what you are paying for. Make an appointment to visit the venue and speak to staff there to ensure that you have all bases covered. You can ask the hall’s sales person for references i.e. people that have used the venue in the past for similar events.
  5.   When you pick a hall to host your event, ensure that you have a signed and dated written contract that outlines the particulars of your agreement. Be sure to read it carefully and only sign if it is reasonable and agreeable.
